DEFINITION

Under the Senior Data Manager's direction, the Data Management Specialist will play a key role in developing and maintaining MAACs Salesforce database for programs, support teams with data collection, and utilize data to make data-informed decisions. The Data Management Specialist is also responsible for training staff in data entry, quality assurance techniques, and continuous quality improvement efforts. This role is responsible for maintaining data integrity by using ad hoc queries, reports, and dashboards to review, monitor, and report program outcomes.

ESSENTIAL DUTIES AND RESPONSIBILITIES

DATABASES MANAGEMENT (50%)
  • Handle all basic administrative database functions including user account maintenance, custom objects and records, setting permissions, data importing, data mapping, and testing systems to fully determine its operational reliability.
  • Stay current on new Salesforce features and functionality and provide recommendation on how to use the platforms features to improve the user experience.
  • Perform file and database audits to ensure accuracy, consistency, compliance and completeness of data entry by programs.
  • Supports teams in Continuous Quality Improvement (CQI) activities including using data to make data informed decisions, improving program quality, and revising databases to reflect updates to programming.
  • Proactively identify issues that may negatively impact integrity of data and communicates solutions.
TRAINING & STAFF SUPPORT (35%)
  • Train staff in how to navigate the Salesforce system and features.
  • Assist in writing and maintaining technical documentation and training materials
  • Support teams with technical assistance related to data entry and quality assurance techniques and troubleshoot data collection challenges the teams may encounter.
  • Collaborate with the Learning & Evaluation Department, Program Directors, Program Managers, and staff and communicate data effectively.
DATA ANALYSIS & REPORTING (15%)
  • Develop and maintain Salesforce reports and dashboards.
  • Provide ad-hoc data reports as needed for internal and external stakeholders
QUALIFICATIONS AND SKILLS

Knowledge of:
  • Salesforce database administration, including user account maintenance, creating custom objects, running reports, and troubleshooting problems.
  • High level of computer proficiency, including working with data management systems and Excel spreadsheets.
  • Strong communications skills with demonstrated experience presenting data cross-functionally.
  • Proven team player, delivery-focused, yet flexible and creative when called upon.
  • Well-developed facilitation and collaboration skills
Ability to:
  • Ability to develop and maintain data dictionaries and other data management documents (fidelity check lists, data plans and specifications, etc.) to support teams with data collection, analysis, and usage
  • Work collaboratively with staff to determine what data are necessary to measure outcomes critical to the organization and how the data should be reviewed, analyzed, and acted upon on a regular basis.
  • Be proactive, always thinking of new ways to implement data systems throughout the organization.

EDUCATION/EXPERIENCE/CERTIFICATION
  • Bachelors degree in social science, statistics, or a related field is required
  • 1-3 years of database management experience is required
  • Familiarity with dashboards and data visualizations
  • Salesforce or CRM database experience preferred
  • Non-profit or government agency experience preferred.

HEALTH STATUS

Must have a physical examination, TB clearance and a drug screen by a doctor/clinic designated by MAAC as well as immunization records for influenza , pertussis and measles as required by state and federal regulations prior to the first day of employment.

Specific vision abilities required by this job include close vision, distance vision, depth perception, color vision and the ability to adjust focus.

Mental Demands

BACKGROUND CLEARANCE

All positions are subject to a background/education check, DMV check, NSOR, exclusion and debarment checks prior to hire and periodically throughout employment as required by various funding sources.

Note: California Start law requires background criminal checks on anyone who works in a licensed childcare facility who is not a client. Must have or obtain a current criminal background check clearance, signed criminal record statement, and signed Acknowledgement to Report Child Abuse form prior to the first day of employment.

TRANSPORTATION

Must have and maintain a valid California Drivers License, daily use of a personal, insured vehicle, and have and maintain a motor vehicle driving record acceptable to MAACs insurance carrier. Incumbents will be enrolled in the California DMV Pull Program.
